The role
The Business Administration Apprentice position is the ideal role for somebody looking to get their career started in Finance & Administration. You will have the chance to progress with a range of responsibilities from payroll and accounts, through to managing the smooth day-to-day running of the office.
You will be working on a wide variety of business administration tasks across the agency, both client side and within the team.
As an integral part of the Herd team, you'll be learning from experts to contribute to the success of the business.
In this role, you will:
- Conduct daily / weekly / monthly banking activities, processing bill payments, and maintaining operating cost receipts
- Manage payroll & pensions, including any adjustments required (expenses / bonus), and maintain payslip portal access for employees
- Manage monthly invoicing and reconciliation of payments received in our accounts software
- Run monthly management accounts, maintaining profit & loss reports
- Manage partner onboarding / offboarding including contracts and addition to accounts software
- Flag upcoming contract renewals, preparing new contracts for existing partners as required
- Review outstanding debtors, chasing as appropriate and escalating via bad debt process
- Produce required management reports (debtors aging summary report, profit & loss, VAT, payroll, financial summary for monthly Busines Update etc.)
- Monitor building access (alarm & keyholder logs), office visitors log, and staff desk booking systems
- Run employee of the month survey within Herd HR portal, announcing results as part of the company People & Culture update
- Maintain office condition, organising cleaning, repairs, fire safety, meter reads, electrical testing, and adequate insurances where necessary
- Maintain office supplies including stationery, equipment, and refreshments (milk / tea / coffee)
- Book approved training / events, travel, and accommodation as required
- Organise staff lunches / catering for partner meetings as required
- Manage BAU (business as usual) to support the smooth running of the agency
- Support the wider team with administration tasks
Qualifications
Secondary education with a level 5 or above in English and Mathematics.
Requirements

- Able to liaise and communicate effectively with other teams
- A willingness to learn and develop
- Basic understanding of business operations
Nice to haves
- Basic Microsoft Excel
- Basic understanding of Microsoft Word / Outlook
- Knowledge of a digital agency
- Knowledge of accounts system such as XERO or QuickBooks
- Relevant experience in a similar role – helpful but not essential
